What's changed in Roles, Users and Mailboxes?

After customer feedback, we have made changes to the role permissions area of ReachMoreParents to make it easier for school administrators to manage and understand. Changes include simplifying the permission options as well as removing permission options that are no longer relevant or required.

We have also redesigned the way in which you make changes to users, roles, mailboxes, role permissions and role message permissions to make these admin tasks much easier.

In addition to these changes, we have created new standardised User Roles that will be applied automatically to all new schools. You can find a summary of the new User Roles here.

 

Key tasks that have been made easier

 

Assigning roles to users - You can now find your users easier with the filter and search options allowing you to look for all users, rather than those in a specific role. You can also assign roles to multiple users at once.

Creating new mailboxes - Mailboxes have been moved to their own section, making it easier to differentiate between mailboxes and roles and users. The process for creating a new mailbox is now much simpler, with less steps and an easier to use interface.

Setting which roles can message mailboxes or other roles - Role Message Permissions can now be edited from the same place as Role User Permissions, making editing of a role much more seamless. There is now also a much clearer interface, reducing potential confusion when editing these permissions.

Changing permissions for a role - We have not only condensed Role User Permissions, meaning there are less to scroll through and change, but we have also added clearer, more easily visible descriptions of what each permission does in a brand new interface.

Tasks that have been removed

 

Creating new Roles - We have now introduced standardised roles for all new schools. If you are school that started their onboarding before 02/07/24, your roles will not have changed but all new schools will have the standardised roles going forward.

These standard roles cover everything a school might need a role for.

If the roles assigned to a user do not allow that user to perform a certain action, you can provide them with an additional standardised role that allows them to do what they need to do, rather than creating an entirely new role from scratch.

For instance, the 'Teacher' role may have the ability to post to the newsfeed, but not to manage the newsfeed. If you wanted to give a specific teacher that ability, you can provide them with the new 'Content Manager' role.

Other functions may not have changed, but have been renamed, moved to a new area, or there may be a new path to access them. These functions and the key information about what's changed are below:
