Groups Changes Troubleshooting and FAQs

From 11th April 2026, we are making improvements to how groups work in RMP. Below is a list of answers to Troubleshooting and FAQs.

1. Why can't I edit this group?

Preset groups are protected to ensure consistency across the platform.

If you need a variation, clone the group first, then edit the cloned version safely.

2. Where did 'Automated groups' go?

Automated groups are now called Preset groups

You can find them in Settings → View / Manage Groups

3. Why are there more or fewer people in my group than I expected?

This depends on the type of group:

  • Static groups only include people you add manually
  • Dynamic and Preset groups update automatically based on criteria and data

Even small changes to criteria or dates can affect membership.

👉 Use View to check who is included.

4. Why has my group changed since I last checked it?

Dynamic and Preset groups update automatically as your data changes.

This includes:

  • Attendance updates
  • Behaviour changes
  • Academic date changes

This is expected behaviour and ensures groups stay accurate.

5. Why is this group empty?

There are a few common reasons:

  • The group is based on criteria that currently match no users
  • The time period or academic dates don’t include any users
  • The group is newly created and hasn’t yet populated

👉 Check the criteria and confirm your academic dates are correct.

6. Why didn’t my scheduled message send?

Check the following:

  • The group is Active (not hidden)
  • The group still contains members
  • The scheduled time and date are correct
  • Academic dates support the targeting (for time-based groups)

7. Why can’t I see a group when sending a message?

This is usually due to visibility or permissions:

  • The group may be Hidden
  • Your role may not have access
  • The group may not be available for your user type

👉 Check that the group is Active and that your role allows access.

8. Why do Preset groups behave differently now?

Preset groups are now more reliable because academic dates are always defined

Previously, missing or inconsistent dates could cause unexpected behaviour.

Now, groups update consistently based on the correct date structure.

9. Why did my group change after updating academic dates?

Dynamic and Preset groups respond to academic dates.

If dates are changed, group membership is recalculated automatically.

👉 This is expected and ensures targeting reflects the correct timeframe.

10. Why did my academic dates change?

This depends on how your school is connected:

  • SIMS schools: dates are controlled in SIMS and will overwrite manual changes
  • Wonde schools: default dates may be applied automatically but can be edited

👉 Always update dates in your source system where applicable.

11. Why can’t I remove or delete some groups?

Not all groups can be removed:

  • Preset groups cannot be deleted
  • MIS groups are controlled by your data source

Only Custom groups can be deleted.

12. Can I undo deleting a group?

No — once a group is deleted, it cannot be restored.

👉 Always double-check before confirming deletion.

13. Do I need to recreate all my groups after the update?

No. Existing groups continue to function as expected.

The update improves reliability and clarity — it does not require you to rebuild your groups.

14. Why is targeting behaving differently to before?

This is usually due to:

  • Academic dates now being consistently applied
  • Dynamic groups updating automatically
  • More accurate data being used for targeting

👉 This is expected and improves long-term accuracy.

15. Has anything been deleted or lost?

No. No groups or data have been removed as part of this update.

The changes improve visibility and organisation rather than removing functionality.

Tips for avoiding issues:

  • Always check group membership before sending messages
  • Use clear names and descriptions for groups
  • Review dynamic group criteria carefully
  • Avoid making large changes to dynamic groups all at once
  • Keep your group list tidy by removing unused groups
