Changes to the way Recurring Calendar Events are Created in ReachMoreParents

 

What's Changed?

You no longer need to manually create each repeating event in your ReachMoreParents calendar. With the new recurrence feature, you can set an event to repeat automatically over a chosen time period, whether that’s daily, weekly, monthly, or yearly. This makes managing ongoing events much quicker and easier.

 

What's Stayed the Same?

Creating calendar events is still simple and familiar. You can continue to access your calendar by clicking the ‘Calendar’ icon in the banner at the top of your ReachMoreParents  web portal. The main event fields, including ‘Event Title,’ ‘Recipients,’ and ‘Description,’ remain unchanged, so you can create events just as you always have.

 

What's the Benefit?

Using recurring events saves you valuable time and reduces repetitive work. Instead of re-entering the same details for each occurrence, you can set your event once and let the system handle the rest. This helps you keep your calendar accurate, consistent and easy to manage, especially for regular activities like assemblies, meetings or termly reminders.

1. What is a recurring event?

A recurring event is a calendar event that repeats automatically on a set schedule, for example, every week, month or year so you don’t need to manually create it each time.

 

2. How do I set up a recurring event?

When creating a new event, select the ‘Recurrence’ drop-down and choose how often you’d like the event to repeat (daily, weekly, monthly, or yearly). You can then customise the pattern, duration and end date using the options shown. Please refer to our article 'Creating a Recurring Calendar Event' to create your event.

 

3. How do I make sure my recurring event doesn’t appear during school holidays?

Use the ‘Exclude Dates’ option to remove any days, weeks, or periods when your event shouldn’t take place, for example, during school holidays.
 

4. Can I exclude multiple date ranges?

Yes. Simply click the ‘+’ icon in the 'Exclude Dates' section to add additional start and end dates for each exclusion period.

 

5. What’s the difference between ‘On this day’ and ‘After’ when setting an end date?

  • ‘On this day’ lets you choose a specific calendar date for your event to stop recurring.

  • ‘After’ allows you to end the event after a set number of occurrences (e.g. after 10 sessions).

     

6. How can I make sure my recurrence settings are correct before saving?

At the bottom of the recurrence window, you’ll see a summary that describes how your event will repeat.
Always review this summary carefully before clicking the green tick icon to save your changes. It’s the best way to confirm your setup is correct.

 

7. What happens after I’ve set up the recurrence?

Once your recurring pattern looks correct and you’ve saved it, follow steps 9 to 13 in our article ‘Creating a Simple Calendar Event’ to publish your event to the ReachMoreParents calendar.

 

8. Can I edit or delete a recurring event later?

Yes. You can open any recurring event and adjust the recurrence pattern, excluded dates or end date at any time. Changes will apply to all future instances of that event unless you choose to update a single occurrence only. 9. If I make changes to an existing occurrence or series, will I be able to notify parents of the changes?

Yes. Administrators will be able to select whether recipients are notified of any changes to an event or an event series. You will be given the option to disable the notification if you do not wish to inform parents of the changes made.
