User Role Glossary - How to decide which user role to choose 

This article provides a clear overview of all user roles available in ReachMoreParents and what each role can access or manage. 

 

Below you’ll find a brief description of every role 

Each role description summarises:

  • What the user can see or do

  • Who the role is intended for

  • Any important limitations 

Use this glossary when setting up new users, or deciding which roles are appropriate for different members of your school community.

Role Description
All Staff Provides basic access for all employees with minimal permissions for security and internal communication.
System Administrator Manages system configuration, user accounts, and access levels. Highest-level access; should be very limited. Contact Support for guidance.
School Administrator Handles communications and admin tasks; can view all communications. Ideal for most office admin staff.
Teacher Access to class and student information, taking registers, and messaging parents/students.
Parent / Carer View their child’s information, receive communications, and message the school office.
Student Access their own information, home learning, and school communications.
Content Managers Review, approve, and manage platform content with full visibility and editing rights.
Governor Strategic oversight with limited communication options and view-only access to areas like Newsfeed and Hub.
Guest Restricted, read-only access for temporary staff or contractors (e.g., Newsfeed, Notices).
Learning Support Staff Access to class registers and basic SEND information to support students.
PTA Shares PTA updates and creates Newsfeed posts (staff approval required). Often a non-staff volunteer.
SENCO Manages SEND provision, resources, and communications with parents and students.
Senior Leadership Team Member Manages operations and strategy with enhanced communication privileges and access to reports and data.
Meal Administrator Manages meal plans, reports, and overall meal operations with full access.
Meal Supervisor Access to meal choices, Meal Bookings report, and Meal Attendance register; very limited access elsewhere.
Super Payments Administrator Full oversight of the payment system and transactions. Should be limited to one person; contact Support for guidance.
Office Payments Administrator Manages school payment items (e.g., trips) in the payments admin area.
MIS Administrator Maintains MIS sync and performs data integrity checks.
MIS Integration Enables integration with Wonde/SIMS MIS for data sync. Assigned only when needed; contact Support for guidance.
Website Integration Integrates RMP with the school website for data and document sharing. Assigned only when needed.
